Privacy Notice
1. Introduction
This privacy notice describes how Worth Abbey and its subsidiary Worth Abbey Projects, and associated organisations Worth Pilgrims, Worth Abbey Parish, Outreach Peru and Projects Retreat Centre collect and use personal information, in accordance with the General Data Protection Regulations (UK GDPR).
Worth Abbey is committed to being transparent about how it collects and uses data and to meet its data protection obligations. This privacy notice outlines how we do this. More detail is contained in the Worth Abbey Data Protection Policy which is available on request.
Worth Abbey, Paddockhurst Road, Turners Hill, West Sussex, RH10 4SB is registered as the Data Controller with the Information Commissioner under registration number Z831059X.
Overall responsibility for data protection within the Worth Abbey Group sits with the Worth School Chief Operating Officer and day to day oversight with the Worth School Assurance Director.
2. Why Worth Abbey needs to process personal data
The Abbey collects and uses personal data for visitors for a range of reasons including:
· To provide you with information about Worth Abbey.
· To send out newsletters and information regarding relevant events that you have indicated you are interested in.
· To deliver the Abbey’s mission to our community, and to carry out any other voluntary or charitable activities for the benefit of the public.
· To provide you with pastoral and spiritual care and to organise and perform ecclesiastical services for you, such as baptisms, confirmations, weddings and funerals.
· To book and manage requests to attend an Abbey/Abbey Projects public or private retreat.
· To process information relating to individual/group bookings, this will also include storing financial information about you.
· To ensure the safety and security of the site, staff, visitors and guests.
· To provide you with the services and access to the Worth site that you require and to perform and administer the contract that you may enter into with the Abbey.
· Administering a contract with an individual who uses Worth Abbey Projects Farm.
· To support fundraising activities, including processing and acknowledging donations, issuing receipts, claiming Gift Aid where applicable, stewarding gifts and communicating with supporters about our mission, campaigns, events, appeals and opportunities to support Worth Abbey's work.
3. Types of personal data processed by Worth Abbey
The personal data that Worth Abbey may collect includes:
· Names, addresses and contact details (personal and business).
· Date of birth, gender and nationality.
· Family details.
· Emergency contact details.
· Banks details.
· DBS documents.
· Event specifications, including number of guests and guest names.
· Identification documents.
· Contact details of equine specialists, including insurance company, vets and farrier.
· Risk Assessments and Safeguarding Policies from businesses.
· CCTV images.
· Photographs.
· Dietary requirements for catering purposes.
· Donation history and gift aid eligibility
· Professional and organisational details (where provided)
· Records of interaction with Worth Abbey (e.g. meetings, correspondence)
If you will be a resident on the Worth Abbey site, we may also need to process special category data, such as:
· Medical information, such as illnesses, physical disabilities and allergies.
· Religion and ethnicity.
· Information about criminal convictions and offences. We do so in accordance with applicable law (including with respect to safeguarding) or by explicit consent.
In the case of an accident or incident whilst on site, personal data will be collected from the injured party or person suffering from ill health, such as details of the incident to include any relevant medical history. The data is collected as Worth Abbey has a legal duty to document workplace accidents/incidents and to report to the relevant enforcing authority certain types of accidents, injuries and dangerous occurrences arising.
4. How Worth Abbey collects data
Worth Abbey collects personal data directly from individuals, when you provide information through our website, such as completing online forms or making inquiries. Data may also be collected when you make a booking for our retreat centre or attend an event. Data may also be collected when you make a donation. Additionally, we may receive your information indirectly, for example, if you are part of a group booking where a group leader provides your details on your behalf. Also, simply in the ordinary course of interaction or communication, such as an enquiry by email or telephone.
For the security of the site, staff and guests, CCTV operates on our premises, details of how CCTV is used and stored can be found in the CCTV policy.
When guests use Guest Wi-Fi, we may collect, process and hold data regarding your device’s information, the websites and applications which are accessed and usage time and frequency.
5. Who Worth Abbey shares your data with
Worth Abbey may need to share personal information relating to its visitors and guests with third parties, such as:
· Appropriate individuals acting on behalf of the Abbey, within the Worth Group, which comprises of Worth Abbey, Worth Abbey Projects, Worth School, and Worth School Lettings.
· Organisations set up to help establish and maintain relationships with the Abbey community, such as the Worth Pilgrims and Worth Parish.
· Professional advisers (e.g. lawyers, insurers, PR advisers and accountants).
· Government authorities (e.g. HMRC, DfE, police or the local authority).
· Appropriate regulatory bodies (e.g. The Charity Commission or Information Commissioners Office).
Personal data collected will be processed by appropriate individuals only in accordance with access protocols, for the purposes that the data was provided.
The Abbey’s IT system is maintained by Worth School, so data will be shared internally with IT staff if access to the data is necessary for performance of their roles.
Some of the Abbey’s processing activity is carried out on its behalf by third parties, such as IT systems, web developers or cloud storage providers. This is subject to contractual assurances that personal data will be kept securely and only in accordance with the Abbey’s specific directions.
6. How long we keep personal data
We will only retain your personal data for as long as is necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting or reporting requirements.
7. Live streaming
We live stream and record services from the church in order to reach out to those who are unable to attend in person. For individuals attending services that are being streamed, Information will be available on arrival advising places to be seated if you do not wish your image to be captured.
Consent forms will be required for individuals taking part in the service or who have agreed to be recorded. For children, consent should come from the parent until the age of 13. Once they are 13, consent should come from the child and the parent. 16 and over, the consent to come from the child. Consent can be withdrawn at any time, by contacting the Assurance Director, accessdata@worth.org.uk.
For this purpose, if you are in the congregation and you give explicit consent by signing the consent form, we may collect:
· Personal data – Images.
· Special category data – religious beliefs.
We will share the live streamed/recorded services with the general public by uploading it to social media site and other video platforms.
The recordings will be kept for a maximum of 28 days and will then be deleted.
8. Transferring data out of the U.K.
Worth Abbey does not routinely transfer personal data outside the UK. Please note that we may utilise software and ‘cloud’ technology in order to routinely process data that may require the use of software servers outside the UK. We employ high levels of safeguards in respect of this software and technology, in accordance with best practice and cyber-security recommendations.
9. Keeping in touch and supporting the Abbey
The Abbey will use the contact details of members of the Abbey community to keep them updated about the activities of the Abbey, and if appropriate, Worth School parents regarding events of interest. Updates may be sent by email or post.
Unless the relevant individual objects, Worth Abbey may also:
· Share personal data, as appropriate, with organisations set up to help establish and maintain relationships with the Abbey community, such as the Worth Abbey Pilgrims;
· Make contact by email or post about fundraising initiatives that support the Abbey’s mission and ongoing activities.
To support our charitable objectives and ensure relevant and respectful approaches, we may undertake research using publicly available sources (e.g. official registers, news media, LinkedIn) to better understand an individual's interests and potential affinity to our work. We will not use or seek to obtain sensitive personal data through this research and individuals can opt of such research on request.
Should you wish to limit or object to any such use, or would like further information about them, please contact accessdata@worth.org.uk in writing. You always have the right to withdraw consent, where given, or otherwise object to direct marketing or fundraising. However, the School is nonetheless likely to retain some of your details (not least to ensure that no more communications are sent to that particular address, email or telephone number).
10. Your rights
Individuals have various rights under Data Protection Law to access and understand personal data about them, these rights are:
· Right to be informed - We will be transparent about how we collect and process personal information and the purposes that we intend to use it for
· Right of access - You have a right to access the data we hold on you
· Right of rectification - You can ask us to correct information that you believe is incorrect
· Right to erasure - In certain cases, you can ask to be forgotten
· Right to restriction of processing - In certain cases, you can request that we stop processing your data
· Right to data portability - We will make your information available to export for your personal use
· Right to object - You can object to us using your data in certain circumstances, and an absolute right to stop data being used for direct marketing
· Rights regarding automated decision making.
11. Subject Access Requests
Any individual wishing to access or amend their personal data, or wishing it to be transferred to another person or organisation, or who has some other objection to how their personal data is used, should put their request in writing to accessdata@worth.org.uk.
We will endeavour to respond to any such written requests as soon as is reasonably practicable and in any event within one month.
12. Data accuracy and security
Worth Abbey will endeavour to ensure that all personal data held in relation to an individual is as up to date and accurate as possible.
An individual has the right to request that any out-of-date, irrelevant or inaccurate information about them is erased or corrected (subject to certain exemptions and limitations under Data Protection Law).
Worth Abbey will take appropriate technical and organisational steps to ensure the security of personal data about individuals, including policies around use of technology and devices, and access to systems. All staff and trustees will be made aware of this policy and their duties under Data Protection Law and receive relevant training.
13. This policy
Worth Abbey will update this Privacy Notice from time to time. Any substantial changes that affect your rights will be provided to you directly as far as is reasonably practicable.
14. Queries and complaints
Any comments or queries on this policy should be directed to the Assurance Director, accessdata@worth.org.uk.
If an individual believes that Worth Abbey/Worth Abbey Projects have not complied with this policy or acted otherwise than in accordance with Data Protection Law, they should utilise the Abbey’s complaints procedure and should also notify accessdata@worth.org.uk. You can also make a referral to or lodge a complaint with the Information Commissioner’s Office (ICO), although the ICO recommends that steps are taken to resolve the matter with the Abbey before involving the regulator.
